Any company can clean an office well once. What you are actually buying is the same standard on a wet Tuesday in month eleven, when nobody is watching. That comes down to unglamorous things: a written scope so nothing is ambiguous, a consistent team that knows your floor, someone checking the work rather than assuming, and a regular review as your office changes.
We build those into the contract rather than treating them as extras. We also work when you do not, so for most offices the cleaning is invisible, which is exactly how it should be.
Who office cleaning is for
- Corporate offices and co-working spaces.
- Small and medium businesses in office blocks and converted houses.
- Clinics, salons and consulting rooms.
- Showrooms and shops.
- Schools, training centres and institutions.
- Property managers responsible for common areas in commercial buildings.
What office cleaning solves
- Washrooms and kitchenettes that become unpleasant by mid-week.
- Dust on desks, monitors and window sills from Nairobi's roads and construction.
- High-touch points such as door handles, lift buttons and shared equipment that spread germs.
- Staff time spent tidying instead of working.
- Inconsistent results from informal arrangements without a written standard.
- A poor first impression for clients and visitors at reception.
Typical office cleaning scope
The scope is adjusted to your premises at the site visit. This is the usual starting point.
| Area | Every visit | Periodic |
|---|---|---|
| Workstations | Desks wiped where clear, bins emptied, monitors and surfaces dusted | Deep clean of desks, chairs and under-desk areas |
| Reception and waiting areas | Surfaces, seating, glass, floors, magazines straightened | Upholstery cleaning, glass partition deep clean |
| Meeting rooms | Tables, chairs, whiteboards, glass, bins | Upholstery and AV equipment dusting |
| Shared spaces and corridors | Floors, surfaces, light switches | Skirting, door frames, high-level dusting |
| Washrooms | Toilets, urinals, basins, mirrors, floors, restock consumables | Descaling, deep clean of tiles and grout, extractor fans |
| Kitchenettes | Counters, sink, appliance exteriors, tables, bins | Inside fridge and microwave, cupboard interiors |
| High-touch points | Door handles, push plates, light switches, lift buttons, handrails, shared phones | — |
| Waste | Bins emptied, liners replaced, waste taken to the collection point | Bin washing |
| Floors | Vacuum carpets, mop hard floors, spot-clean marks | Machine scrubbing, carpet extraction, polishing |
What is excluded or quoted separately
- External window cleaning above ground floor.
- Carpet extraction and upholstery cleaning, unless included as periodic tasks.
- Cleaning inside server rooms and sensitive equipment rooms, unless specifically agreed.
- Disposal of confidential waste, which should go to a certified shredding provider.
- Post-renovation cleaning, which is a post-construction clean.
- Pest treatment, available through our pest control service.
Cleaning schedules and business hours
| Frequency | Suits |
|---|---|
| Daily | Busy offices, clinics, shops and anywhere with heavy washroom and kitchen use |
| Three times a week | Medium offices with moderate use |
| Twice or once a week | Small or lightly used offices, satellite offices |
| Periodic deep cleans | All offices, quarterly or twice a year, on top of the regular schedule |
We schedule early morning, evening, overnight or at weekends so that cleaning does not interrupt meetings or clients. For premises that open on Saturdays, we agree a timetable that works around your hours.
How setting up a contract works
- Site visit. We walk the premises, count washrooms and workstations, look at floor types, kitchens and access, and discuss your hours and any problem areas.
- Scope and schedule. You receive a written scope, a frequency and a price, timed around your working hours.
- Access and keys. Key holding, alarm codes and out-of-hours access are agreed in writing before anyone starts.
- First clean. The first visit often takes longer because it brings the premises up to standard.
- Quality checks. The work is checked against the scope, and we review the contract with you after the first month and then periodically.
Hygiene expectations
Shared offices spread germs through high-touch surfaces. We clean and disinfect handles, switches, push plates, shared phones and lift buttons on every visit, use separate cloths for washrooms and kitchens, and change mop heads and cloths regularly so that dirt is not moved from one room to another.
Confidentiality and security
Office cleaning means trusted access to your premises out of hours. Our approach is simple:
- Cleaners do not read, move or dispose of papers left on desks.
- Rooms that must not be entered are listed in the scope.
- Keys and alarm codes are held securely and their use is agreed in writing.
- Any breakage or issue is reported to your contact the same day.
What happens before the first visit
- Agree a single point of contact on your side.
- Confirm which rooms are in scope and which are not.
- Tell staff to clear desks at the end of the day if they want them wiped.
- Decide who supplies consumables such as soap, tissue and bin liners.
- Share any building management rules on out-of-hours access.
What affects the price of office cleaning
| Factor | Effect |
|---|---|
| Floor area and number of rooms | The main driver of time per visit |
| Number of washrooms and kitchens | These take the most time on each visit |
| Frequency | Daily contracts cost more per month but less per visit |
| Timing | Overnight and weekend work can affect cost |
| Consumables | Supplied by us or by you |
| Periodic tasks | Carpet extraction, machine scrubbing and deep cleans |
Use our office cleaning checklist to decide what your scope needs.
Common mistakes
- Choosing on price alone without a written scope, then arguing about what was included.
- Not agreeing who supplies consumables.
- Forgetting periodic tasks, so carpets and grout slowly decline.
- Never reviewing the contract as headcount and layout change.
Why use a professional office cleaning service
A professional service gives you a written standard, trained cleaners with commercial equipment, cover when someone is unwell, and someone accountable when standards slip. That is far more reliable than informal arrangements.
Areas we serve
We clean offices and commercial premises across Nairobi, including Westlands, Upper Hill, Kilimani, Lavington, Karen and Embakasi, and in nearby areas including Ruaka, Ruiru, Syokimau and Kitengela.
